A leading international company is seeking an Administration Supervisor to join its U.S. operations.
This position is responsible for overseeing and maintaining the company's administrative functions, including general office and property maintenance, event coordination, executive and visitor support, document and agreement management, registry and property upkeep, corporate insurance administration, and marketing activities. The role requires aligning all tasks with the company’s strategies and policies to help achieve organizational goals.
Summary of Responsibilities:
Budget Preparation & Implementation: Assist in preparing and executing the company's budget by analyzing past performance and aligning with company strategies under department manager's guidance.
Office & Facility Management: Oversee general office operations, property maintenance, supplies, and vendor coordination to ensure a productive work environment.
Event & Membership Coordination: Plan and manage company events, maintain corporate memberships and sponsorships, and oversee discount programs to support company initiatives.
Insurance Administration: Manage corporate insurance policies, renewal processes, and broker communications, and support audits and proposals.
Executive & Visitor Support: Arrange travel, manage access controls, and prepare expense reports for executives, visitors, and expatriates.
Document & Registry Coordination: Maintain internal documents, storage, and agreement records; handle mail distribution and mailing lists.
Office Safety & Security: Administer key control, act as fire warden, and manage safety supplies.
Staff Supervision: Direct and evaluate staff, coordinate schedules, handle HR functions, and ensure departmental goals are met.
Other Duties: Perform additional tasks as assigned by the department manager and senior management.
